ATTENDANCE REQUIREMENTS

The Borough has determined that predictable, regular, and punctual attendance is an essential function of this position for the following reasons:

· As a public-facing municipal office, regular business hours must be maintained, requiring a consistent on-site presence to handle daily operations, public interactions, and meeting attendance.

· The position requires coordination with staff and accountability in the handling of public funds and fulfillment of legal and administrative responsibilities.

· Many duties are subject to strict deadlines established by law, regulation, or ordinance.

· The role requires on-site access to and management of physical and electronic records, including sensitive information maintained within the Borough’s systems.

Additional duties requiring predictable, regular, and punctual attendance include:

· Performing routine administrative functions in support of the Administration Department, as well as duties for Weona Park and the Park Board, including handling calls and correspondence, managing mail and filing, scheduling, preparing meeting materials, responding to public inquiries, posting notices, and maintaining physical and electronic records.

· Working under the on-site supervision of the Borough Manager and Borough Secretary.

· Utilizing Borough office equipment, including telephones, computers, and other standard office systems.

GENERAL SUMMARY

Under supervision of the Borough Manager, provides administrative support for the Borough Manager, Borough Secretary and Borough officials.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Assist the Borough Manager and Secretary as requested with the following duties:

  • Acts as public ambassador/liaison to Borough Manager and other Borough officials; provides information, assistance, and referrals to citizens.

· Provides administrative support for Weona Park and the Pen Argyl Athletic & Park Association. Duties include managing park pavilion rentals, assisting with event coordination, making deposits, paying bills, performing general bookkeeping in QuickBooks, and other duties as assigned by the Borough Manager.

  • Assembles packets for and attends Borough meetings; takes, transcribes, and presents minutes of meetings; prepares agendas; notifies affected parties of meetings and time schedules.
  • Answers and screen telephone calls for Borough Manager.
  • Coordinates and schedules meetings; post meeting notices.
  • Opens, reads, copies and routes mail.
  • Composes and prepares routine correspondence, interoffice memoranda and forms.
  • Coordinates approval and processing of public events, licenses and permits.
  • Schedules Council and Committee meetings and advertises legal notices as required.
  • Coordinates use of Borough Hall facilities by outside entities.
  • Manages and maintains records & permanent files.
  • Proofreads and edits drafts of letters, memos, reports, etc.
  • Provide assistance to and/or coverage on behalf of all other office personnel as needed and troubleshoots copy, postage and fax machine problems.

Performs other related duties as requested.

DESIRED MINIMUM QUALIFICATIONS

Education and Experience

High School or GED and four years of relevant experience preferred.

Knowledge, Skills and Abilities

  • Knowledge of modern office practices, procedures, and equipment.
  • Proficiency in Microsoft Office 365 (Word, Excel, Teams, and Outlook); experience with QuickBooks or similar accounting software preferred.
  • Strong command of English grammar, vocabulary, punctuation, and spelling, with the ability to compose correspondence, prepare reports, and maintain accurate records and files.
  • Ability to receive, screen, and respond to inquiries, both in person and through written and electronic communication.
  • Ability to understand and follow oral and written instructions, work independently, and adhere to applicable laws, policies, procedures, and guidelines.
  • Strong computer skills.
  • Effective communication and interpersonal skills, with the ability to handle confidential information with discretion.
  • Ability to establish and maintain effective working relationships with staff, other departments, and the public.
  • Strong attention to detail and the ability to meet deadlines.
